As an Executive Assistant, you'll provide invaluable support to three ELT members, aiding in strategic analysis and day-to-day tasks to help achieve divisional goals. Your role is pivotal in maintaining the executive office's efficiency, thereby contributing greatly to the organisation's success.

So, what’s the job?

Calendar Management:

  • Coordinate executives’ schedules, resolving conflicts proactively.
  • Manage global time zone differences for optimal scheduling.
  • Provide reminders and time zone conversions for punctuality.

Travel Arrangements:

  •  Plan and coordinate domestic and international travel efficiently.
  •  Ensure compliance with company travel policies.
  •  Manage regular and ad-hoc travel for executives.

Meeting and Presentation Support:

  •  Prepare materials for meetings and presentations.
  •  Record meeting minutes and follow up on action items.
  •  Draft, edit, and proofread reports and presentations.

Communication and Stakeholder Management:

  • Serve as primary contact for internal and external communications.
  • Foster positive relationships with stakeholders worldwide.
  • Facilitate communication between executives and stakeholders.
  • Maintain contact lists and streamline information flow

Onboarding Support:

  •  Coordinate onboarding schedules and training materials.
  •  Support new employees during their transition.

Budget and Expense Management:

  •  Manage budget activities and expense reports efficiently.

General Responsibilities:

  • Maintain an efficient filing system for documents.
  • Assist with special projects and office tasks.
  • Handle sensitive information with professionalism.
  • Event coordination

And what are we looking for?

  • Experience supporting executives globally or in similar roles, showcasing your ability to handle administrative tasks effectively.
  • Understanding of different time zones, ensuring efficient scheduling across regions.
  • Ability to manage multiple tasks efficiently and maintain order in a complex environment.
  • Strong verbal and written communication skills for professional interactions with stakeholders. 
  • Proficiency in managing relationships, including directing work for senior stakeholders. 
  • Proficiency in MS Office Suite and relevant tools for tasks like diary management and presentations.
  • Understanding of business operations and a customer-focused approach.
  • Meticulousness in maintaining accuracy in tasks and deliverables. 
  • Ability to set priorities, meet deadlines, and complete tasks effectively. 
  • Proactive teamwork and collaboration with colleagues. 
  • Willingness to identify and implement process improvements.
  • Ability to handle sensitive information with discretion.
  • Capacity to work independently in a dynamic environment. 
  • Prior experience in managing complex travel or supporting onboarding is advantageous.
